We've rebuilt membership creation and editing. Quicker to set up, and no longer set in stone once you've sold it. Credits built in rather than linked, self-serve rules are set per membership, and your terms are written for you.
Need to correct a mistake, perhaps change booking credits or rules on a plan, now updating included credits, rules, door access groups or renaming updates existing members automatically.
Whilst editing prices and terms will still only apply to new membership sales.

No more creating separate packages and bundling in. Assign any number of credits to any membership without needing to create a separate package. Easily come back and edit booking credits if you need to adjust the amounts or allowed categories.

Cancellation, pausing and switching rules now live at the membership level. Allow you to provide different rules for different memberships, increase the flexibility of your offers.

Membership terms are automatically generated based on the configuration of your membership, given you maximum possible protection from payment disputes with clearly laid out and digitally signed terms.
Customise the membership terms per plan to suit your club as you like.

Multi-location clubs just got a serious upgrade. If you run more than one club, this release is for you. Members can now book across your locations (if you choose), picking a location in the app is far easier, and there's a new Brand Owner role for the people running the whole show.
You can now choose to allow your members to book across clubs. Memberships and credit packs work brand-wide instead of being locked to the club they joined.
Our new Booking Categories make this possible - credit categories are now at the Brand level, one category list across all of your clubs.
Booking Categories can be used for classes, appointments, or both.
Credits travel with the member. Credits from a pack or included with a membership can book matching sessions at any of your clubs.
See where credits were spent. Usage history shows the club name for staff and members.
Read the Booking Categories Guide if you want to allow bookings across your clubs.
Members did not always know exactly what your clubs were called, which made searching for them harder than it should be. Branded multi site apps now show a browsable list of your locations, so members just pick the one they want.

A top level role for whoever runs the brand, not just a club.

Invisible to other users in the brand (perfect for franchise support teams)
Controls booking categories across the brand
Controls brand wide staff access, including who else becomes a Brand Owner and who works across multiple sites

A round-up of everything that shipped this month. A retention step in the cancellation flow, a new Configuration page, product links and more. Many of these came straight from requests in the feedback board, so keep those votes coming.
When a member starts a self-serve cancellation, they are now offered a pause instead, built from the pause allowance you already have set. It's the same tactic the streaming services use, and it turns a potential cancellation into someone who comes back in a few weeks.
The pause option only appears on memberships that have pausing switched on, so check your self-serve membership pause settings if you'd like to start using it.

Changed your waiver? You can now require every existing member to read and sign the new version. They're prompted the next time they open the app or portal, so there's no chasing people one by one and no need to ask us to reset it for you.

Products now get their own purchase page and shareable link, just like memberships and credit packs. Grab it from Settings > Products > Copy Link and drop it into an Instagram story, an email or a QR code on the shelf. Members land straight on the checkout for that one product.
The new Configuration page pulls your club-wide settings into one place. Some existing settings have moved here, so if something isn't where you remember it, this is the first place to look.
Two new options have landed there too:
Allow late bookings. Members can book a class after it has already started, which is exactly what you want if you run open gym as a class slot. Off by default, so nothing changes unless you turn it on.
Let members pick their start date. Members choose when their membership begins at checkout instead of it always starting today, which is ideal for anyone joining before a holiday or a new term.

Self-serve cancellation, change and pause rules now live on the membership itself, which means each of your plans can work differently.
Let your rolling monthly plan be cancelled online with 1 month notice, while your discounted 12 month plan can't be. Set a longer pause allowance on your premium tier than your off-peak one.

Increase sales of higher-priced packages with payment plans for credit packs. Rather than paying for a pack in one go, you can now optionally offer a payment plan. The customer receives all of their credits immediately and pays the balance automatically over a schedule you set.
Increase your average sale: price is usually what stops a member buying your largest pack. Spread it over a few payments and they buy the bigger one.
You control the pricing: the plan total can be higher or lower than the upfront price, so you can add a premium for the convenience or discount it to reward the commitment.
No extra fees: Gymflow charges nothing to use payment plans, just your usual Stripe processing costs on each payment.
No extra admin: the whole schedule is created at the point of sale, payments collect themselves, and failed payments retry automatically just like membership billing.
The full schedule is created at the point of sale. Every upcoming payment is generated up front, so you and the member can both see exactly what's due and when.
Each payment collects itself on its due date from the member's saved card or direct debit.

If a payment goes past due, the pack is marked overdue and the member's remaining credits are blocked until it's settled. It reactivates on its own once nothing is outstanding.
Taking a plan in cash? Staff can do that, but with no card to charge, each payment is flagged past due on its date for you to collect manually.
Switch the Payment Plan on for any credit pack, and the plan appears as an option alongside your normal upfront price everywhere the pack is sold: the members app, member web checkout, staff portal and staff app. Read the full guide here.

You can now order a physical card terminal through Gymflow, fully linked to your club. Your member taps, the invoice is marked paid, and the sale lands in your reports automatically. No double entry, and nothing to reconcile at the end of the day.
The terminal is a Stripe Reader S700, a proper countertop card machine that connects over your club WiFi.
Contactless payments: members can tap their credit or debit card, or pay with Apple Pay or Google Pay straight from their phone or watch.
Chip and PIN: for cards that need it, insert and enter a PIN as normal.
Lower processing fees: Stripe charges slightly less for in-person terminal payments than for online payments, so every tap at the desk costs you a little less to process.
Ordered through us: We order the hardware, register it to your club and post it out. When it arrives, connect it to your WiFi and it is ready to take payments.
More than one desk? No problem: register multiple readers to a club and choose which one each sale goes to.
When you check out a sale in the Shop, a Terminal option appears alongside your existing Online and In Person payment options.
No double entry: the sale, invoice and payment are all handled in Gymflow the moment the card is tapped.
Works across sale types: credit packs, products and pre-paid memberships.
Wallet credit comes off first: if a member has a balance, the terminal collects whatever is left to pay.
Recurring memberships aren't included yet: a card tapped on a reader can't be saved for future billing, so those still need a stored card or direct debit.

Settle balances on the spot: send a past-due invoice straight to a terminal. This is also how you retry a tap that didn't go through.
Identified in revenue reports: terminal payments are marked in the revenue report list and CSV export, with their own payment method filter.
On the invoice too: terminal payments show with their own icon on the invoice details, for staff and members alike.

Membership terms are no longer just a file you upload and hope members read. We've rebuilt them from the ground up so you can write terms directly in Gymflow, capture a proper acceptance at checkout, and keep a clean signed record for every member β across every portal and app.

Membership terms are now automatically generated based on your membership's specific configuration.
Built from your settings: The system pulls data directly from your membership setup βincluding the price, billing intervals, joining fees, contract length, and late fees.
No more PDFs: You can now write and format terms directly in the portal using a rich text editor, meaning no more wrestling with external PDF files for every membership

To win a dispute, payment processors like Stripe primarily want to see that you did a good job of showing the customer exactly what they were buying and what the terms were.
Surfaced at checkout: Instead of a "hidden" link that takes customers out of the purchase journey, terms are now surfaced directly in the checkout flow.
"Agree and Sign": We have replaced the simple tick-box with a clear "Agree and Sign" button to create a proper legal capture of the customer's acceptance.
By providing this level of transparency and proof, we estimate that you will win your payment disputes 90% of the time.
Downloadable signed records: If a payment is ever disputed, you can instantly download a signed copy of the terms β complete with acceptance details β to provide to Stripe.
Digital Audit Trail: We capture exactly which version of the terms the member agreed to at the time of purchase.
Email confirmation: A copy of the signed terms is automatically emailed to the customer upon purchase, and we maintain a record of that email as additional evidence of clear communication

Our research 100,000+ transactions showed that 99.9% of disputes were related to recurring memberships rather than one-off credit packs.
Removed friction: To keep the purchase flow as fast as possible for one-off payments, we have removed the separate terms requirement for credit packs.
General rules: If you have specific rules for credit packs (such as booking policies), we recommend including these in your general Club Waiver & Terms.
π‘ Action Required: Rebuild Your Existing Terms Your existing membership terms have been migrated automatically. However, because many clubs previously used a general waiver instead of specific terms, we strongly recommend visiting your memberships and clicking the "Reset to Default" button. This will instantly rebuild your terms using our researched template based on your current membership settings.

We've given the checkout summary a thorough polish across every portal and app. Prices, discounts, and billing information are now easier to read and understand at a glance β so your members know exactly what they're paying, and when. These changes apply everywhere you take payment: the Staff Portal, Customer Portal, Staff App, and Member App.
Membership checkouts now itemise the important parts of the purchase on their own lines, so nothing is buried.
Joining fees split out: the joining fee always appears as its own line rather than being rolled into the total.
Upfront add-ons listed separately: any upfront add-ons are shown individually, with tax handled correctly.

Recurring membership checkouts now make it obvious what's being paid now and what happens next.
Clear next payment info: members can see their next billing date and amount before they commit.
Pro-rata made simple: when a membership is pro-rated, a new alert shows the exact period being paid for, so there are no surprises.

If you display prices including tax, your checkout now stays consistent from start to finish β no more switching between inc and ex tax mid-flow.
Everything shows inc tax: item prices, before-and-after discount prices, and subtotals all reflect your tax display setting.
No confusing tax line: when prices already include tax, we no longer add a separate tax line item to the summary.
Promo codes match: discounts from promo codes are shown inclusive of tax too, so the maths always adds up.
These updates roll out automatically across all checkouts β there's nothing you need to switch on.

Your club waiver is no longer just a file you upload and forget. We've rebuilt waivers from the ground up so you can write them directly in Gymflow, personalise them automatically, and keep a clean signed record for every member β across every portal and app.
Create and edit your club waiver right inside the Staff Portal using a proper rich text editor β no more uploading PDFs or wrestling with formatting in another tool.
Write and format in place: headings, lists, bold, and links all render cleanly for members.
Smart placeholders: drop in details like member name and club name, and Gymflow fills them in automatically for each person.
Waiver Templates: Weβve pre-paid some templates for you based on different activity types and jurisdictionβs to help fast track you to a better waiver.
You existing waiver files have already been converted to Rich Text and are ready to use. We recommend checking them for formatting issues.

Every waiver now automatically includes a signature and acceptance block at the bottom, so members clearly view, agree and sign:
Agree & sign everywhere: works across the Member Portal, Member App, and during onboarding and sign-up.
Easy to read and fast to accept: a handy "scroll down" action jumps members to the bottom if needed a

Need a record for your files? Staff can download a PDF copy of any signed waiver β complete with the signature block β to keep as evidence whenever it's needed.
View signed waivers anywhere: available in the Staff Portal, Staff App, Member Portal, and Member App.
Always know what was signed: each acceptance is tied to the exact version of the waiver the member agreed to.

June brings a packed set of updates across memberships, bookings, access control, and integrations. Here's everything that's new in Gymflow so far this month.
Setting up joining fees is now much simpler. Previously, you had to create a separate product called "Joining Fee" and manually add it to the joining fee section on each membership. That extra step is gone.
Every membership plan now has a built-in Joining Fee section β just open the membership, configure the fee directly, and you're done. No products to create, no extra steps.
Customise Fee Name: If you refer to joining fee as something different e.g Admin Fee, you can easily change the fee name.
Adjust joining fee rates anytime: Easily turn joining fees off/on and edit the price at anytime without needing to modify the membership or create a different plan.

All your existing joining fees, admin fees etc have been migrated over to use this new field so you can immediately start taking advantage of this setting.
You now have more control over when members can access your space for class and appointment bookings
Set when booking access is granted relative to a booking start time β giving you precise control when the user can enter.
To adjust your settings just head to Settings > Facilities and click edit to change within your facilties settings.

Setting up staff availability is now faster than ever. Copy an existing availability shift rather than building it from scratch β a real time-saver when setting up recurring or similar schedules across your team.

Finding transactions is now faster and more focused. Filter transactions by payment method β quickly segment by card, cash, direct debit, or any other payment type used at your club.
Just click the Filter button when viewing any revenue report list and apply the payment methods you want to see.
Control subscription costs with Kisi by removing inactive users. For those on standard plans, inactive members could push your subscription into higher tiers. You can now Delete inactive users from the Kisi dashboard to save funds without breaking the sync with Gymflow if the member was to re-join.

Subscription History Zap β New Data Fields Available on the Subscription History trigger, giving you richer automation options for member lifecycle events.

Say hello to the Members Inbox, a brand-new way for your team to message users directly from Gymflow, with delivery straight to their phone via push notification and a dedicated inbox inside the member app and web portal. No more switching to email, SMS, or a third-party tools for quick, in-product communication.
This feature update allows you to:
Send individual push notifications
Send bulk push notifications
Notifications include deep links so when they are tapped they guide the user straight to the inbox to see the full message.
If a member doesnβt have push notifications enabled they will still always get the message delivered their their inbox which is accessable from the members app or members web portal. Making inbox messages one of the most reliable ways to get your message across!

This feature is currently in public beta testing, push notifications are only available on the Gymflow Members mobile app and will be coming to branded apps very soon.
Please note to receive push notifications you app users need to allow them. We have been requesting these permissions in app for the last week but it will take time for existing users.
